Benefits Administrator

Location: Hauppauge, NY

Position Overview

The Benefits Administrator is responsible for overseeing the day-to-day management of assigned GSA clients by providing support to designated contacts of assigned GSA clients (employers) and performing benefits administration tasks for these clients. The Benefits Administrator utilizes client service and research skills to investigate answers to questions and concerns to ensure resolution and satisfaction of all issues.

Responsibilities

  • Serve as primary day-to-day point of contact for GSA client contacts (typically Benefits and Human Resources staff).
  • Perform administrative tasks related to all types of employee benefit programs for assigned clients, including group medical, dental, vision, life, disability, Health Savings Accounts, Flexible Spending Accounts, and retirement accounts.
  • Lead or assist in leading open enrollment activities for assigned GSA clients. These activities include project planning, communications, GSA system updates, and processing enrollment changes.
  • Communicate benefits information to all GSA clients’ employees, including in-person benefits meetings, webinars, and one-on-one employee support.
  • Resolve employee issues through customer service, including resolution of issues escalated by Customer Service Representatives.
  • Work with benefit plan providers (carriers) in plan administration and problem resolution.
  • Process employee demographic changes in GSA systems, including new hires, status changes, qualifying events, and terminations.
  • Process employee enrollment changes with benefit plan provider (carrier) systems, through both electronic enrollment files and carrier web portals.
  • Manage client business process and identify areas for continued improvement, making recommendations to update Standard Operating Procedures, as required.
  • Serve as a subject matter expert on the client’s plans and administrative procedures and as the key resource for day-to-day issues. Direct the team on handling plan or client specific questions, keeping the team updated on client-specific information.
  • Learn and maintain Service Contract Act knowledge.

Requirements

  • Bachelor degree, preferably in finance, accounting, or business management.
  • Minimum three (3) years’ experience in benefits administration.
  • Proficiency with MS Office (Word, Excel, PowerPoint, Outlook).
  • Experience with HRIS, payroll, and benefits administration systems.
  • Demonstrated knowledge of laws and regulations impacting employee benefits.
  • Minimal travel, 1 to 2 times a year.

Benefits Systems Analyst

Location: Hauppauge, NY or Fairfax, VA

Responsibilities

  • Develop and manage the software development lifecycle for specific systems and tools, including requirements gathering, technical development and testing end-user implementation.
  • Complete detailed needs analysis for users, evaluating available applications, identifying opportunities for enhancing existing systems and implementing new solutions.
  • Develop custom (client-specific) applications for processing client and vendor data, utilizing available tools such as MS Excel, MS Access, and VBA/Macro.
  • Assist with implementation of new clients, ensuring that all data is accurately and consistently reported to GSA, identifying data issues related to the client’s compliance with SCA, CBA and Davis-Bacon (Related) Acts.
  • Collect data by identifying sources of information and designing collection methods, organize information by analyzing and interpreting data.
  • Develop system solutions to automate day-to-day processes of GSA. These processes may include, but are not limited to, eligibility enrollments, systems variances reports, carrier audits, retirement funding analyses, analysis of premium reserve accounts, processing of Hours and Contribution reports, Leave of Absence (LOA) processing and GSA system integration tasks.
  • Train others regarding data sources, limitations of data, efficient ways to retrieve and transform data and best practices in managing data quality.

    Address client requests with the highest degree of quality, courtesy and professionalism to resolve issues and effectively communicate plans for resolution.

  • Learn and maintain benefits administration, Service Contract Act, Leave of Absence, Paid Time Off, and other business-specific topics relevant to GSA service offerings.
  • Translate and communicate highly complex concepts in ways that can be understood by a variety of audiences.

Qualifications

  • Bachelor’s degree in Information Systems, Business, or related field
  • Three (3) years of related, progressively-responsible work experience
  • Benefits and/or human resources work experience
  • Data Analysis experience
  • VBA/Macros experience
  • Excel and Access experience

Benefits Information Specialist

Location: Hauppauge, NY or Fairfax, VA

The Benefits Information Specialist is responsible for the collection, analysis and processing of client data and preparation of client invoices, vouchers, retirement funding reports, and other client-related reports. The Benefits Information Specialist is also responsible for assisting in the implementation of new clients and recommending continuous process improvement initiatives for key business processes. Exceptional analysis, critical thinking, process improvement, and communication skills are essential to this position.

Responsibilities

  • Collect data by identifying sources of information and designing collection methods.
  • Organize information by studying, analyzing, interpreting, and classifying data.
  • Process data files received from the Client for integration with GSA computer systems.
  • Analyze variances between data sources and collaborate with Client Owner(s) to ensure updates to most current employee benefit and demographic information.
  • Prepare Invoices for submission to client.
  • Prepare Vouchers for submission to Finance for payment of benefit premiums to carriers.
  • Prepare reports, including Retirement Funding reports, by collecting, analyzing, and summarizing information.
  • Perform monthly benefit carrier audits for all Clients to ensure accurate and timely benefit enrollments.
  • Perform root cause analysis and recommend correction action on an as-needed basis.
  • Assist GSA Management with implementation of new clients. This implementation assistance includes: Identify client requirements by establishing personal rapport with clients to understand service requirements, ensure that all data is accurately and consistently reported to GSA, identify data issues related to the client’s SCA compliance, confirm that client plan requirements (ex: PRA threshold) are configured correctly in GSA systems
  • Train others regarding data sources, limitations of data, efficient ways to retrieve and transform data and best practices in managing data quality.
  • Translate highly complex concepts in ways that can be understood by a variety of audiences.
  • Escalate exceedingly complex technical and operational issues to management and collaborate with technical consultants for resolution.
  • Participate in on-going corporate efforts for continuous process improvement within key business processes.
  • Complete assigned tasks related to day-to-day operations of GSA. Requirements

  • Bachelor degree required, or appropriate combination of education and significant experience.
  • Minimum 4 years benefits administration, finance, HRIS, or data analysis experience preferred.
  • Benefits and/or human resources work experience preferred.
  • Must have excellent communication skills, with the ability to speak and read English clearly, professionally and fluently.
  • Proven ability to work as an active participant in a team environment.
  • Computer skills to include Microsoft Office Suite (Level 3 Excel) and web applications.
  • Interpersonal skills, maintaining professional relations with internal staff and external clients.
  • Ability to solve problems in a straightforward manner.
  • Capable of multi-tasking and working under pressure.
  • Demonstrated ability to handle sensitive and confidential compensation and financial information in accordance with HIPAA requirements.
